How to track volunteer training completion at your church

To track volunteer training completion, you need three views: every learner's progress on one course, every course's progress for one learner, and a way to pull the list when someone asks "who's done?" A spreadsheet or a sign-in sheet in a binder can answer one of those, slowly. Below is how to get all three without the binder, and what to do about training that happens outside a screen (an in-person orientation, a shadow shift).

What "done" has to mean

Before you track anything, decide what counts as finished for a given course: every lesson viewed, a passing quiz score, or just an acknowledgement that someone read your policy. Mixing definitions across ministry teams is normal; mixing them within one course confuses the people filling it out as much as the people checking it.

Per-course: who on this course is done, and who isn't

Open a course and go to its Learners tab. The roster lists everyone enrolled with their status (active, completed or revoked), completion date, and a progress bar showing lessons completed out of the total. This is the view for "has everyone on the kids' team finished the safety course yet" — sort by status and the people still in progress are the ones to follow up with.

If someone finished the training a different way — an in-person session, a conversation with a ministry leader — you can mark their enrollment complete manually from the roster and attach a note (for example, "completed in-person orientation 9/14"), so the record doesn't say they never finished something they actually did.

Per-assignment: who's overdue right now

A course's Assignments tab lists every way you've assigned it (by person, role, cohort or Planning Center source). Open an assignment's progress view and you get the same roster filtered to that group, with a filter for completed, in progress, or not started — the list you'd hand a ministry leader before Sunday.

Per-learner: everything one person has (and hasn't) finished

A learner's own My Learning dashboard shows a card per enrolled course with a progress bar and due date. From the admin side, opening a person's row in an assignment's progress view shows the same detail — useful when a ministry leader asks about one volunteer instead of a whole team.

Due dates and reminders, so you're not the one chasing

Set a due date on an assignment and EquipEngine emails anyone who hasn't finished 7 days before the due date and again on the day itself — people who already finished don't get either email. That moves the chasing from a ministry leader's memory to the calendar. See Assigning Courses for how due dates and reminders work. Proof they understood it, not just that they clicked through

A quiz or acknowledgement at the end of a lesson is what turns "completed" into "can show they understood the policy," which matters most for child-safety and code-of-conduct training. Quizzes are available on every plan, including the free Starter plan.

Pulling the list: CSV export

Every course has an Export button on its Learners tab that downloads a CSV with each learner's name, email, status, lessons completed, total lessons, progress percentage, enrollment date and completion date — the file to attach when a ministry leader or your pastor asks for a completion report. CSV export is available on every plan.

Tracking a whole ministry team at once

If you assign training through a cohort (for example, "Kids Ministry Volunteers"), the cohort page shows each member's count of courses completed out of the courses assigned to that cohort — a faster read than opening each course separately when the question is "is the whole team ready," not "is this one course done."

If you're assigning through Planning Center Workflows

When a Workflow step assigns the training, completion can write back automatically: the step closes itself and a custom field on the person's Planning Center record can record the date, so you're not tracking the same completion twice in two systems.
